{"id":1769,"date":"2026-05-13T23:59:08","date_gmt":"2026-05-14T06:59:08","guid":{"rendered":"https:\/\/hostex.io\/help\/?p=1769"},"modified":"2026-05-15T01:33:56","modified_gmt":"2026-05-15T08:33:56","slug":"reservation-finances","status":"publish","type":"post","link":"https:\/\/hostex.io\/help\/reservation-finances\/","title":{"rendered":"How to View, Record, and Edit Reservation Income and Expenses"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\">The reservation <code>Finance<\/code> module is used to manage reservation payout information and reservation transactions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Open Finance<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the reservation detail page.<\/li>\n\n\n\n<li>Go to the <code>General<\/code> tab.<\/li>\n\n\n\n<li>Find the <code>Finance<\/code> section below the main reservation information.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Finance includes:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><code>Payout<\/code>: booking channel payout amount and receipt status.<\/li>\n\n\n\n<li><code>Transactions<\/code>: income and expense records related to the reservation.<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"809\" src=\"https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-1024x809.png\" alt=\"\" class=\"wp-image-1799\" srcset=\"https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-1024x809.png 1024w, https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-300x237.png 300w, https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-768x607.png 768w, https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-1536x1214.png 1536w, https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-2048x1618.png 2048w, https:\/\/hostex.io\/help\/wp-content\/uploads\/2026\/05\/Hostex-reservation-Finance-module-15x12.png 15w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Understand Payout<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\"><code>Payout<\/code> shows the expected amount from a booking channel, such as Airbnb or Booking.com.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The payout status is based on income transactions linked to the payout:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><code>Unreceived<\/code>: no linked Accommodation income exists.<\/li>\n\n\n\n<li><code>Partial<\/code>: linked Accommodation income is greater than zero but less than payout.<\/li>\n\n\n\n<li><code>Received<\/code>: linked Accommodation income is equal to or greater than payout.<\/li>\n\n\n\n<li><code>Excess<\/code>: linked Accommodation income is greater than payout.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Only income recorded from the payout entry is linked to that payout. Other Accommodation income records do not change the payout status.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Record Payout Income<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When payout status is <code>Unreceived<\/code> or <code>Partial<\/code>, Hostex shows a record-income action next to the status.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click the record-income action.<\/li>\n\n\n\n<li>Hostex opens the add transaction modal.<\/li>\n\n\n\n<li><code>Type<\/code> is locked to <code>Income<\/code>.<\/li>\n\n\n\n<li><code>Category<\/code> is locked to <code>Accommodation<\/code>.<\/li>\n\n\n\n<li>Enter payment method, amount, time, notes, and attachments as needed.<\/li>\n\n\n\n<li>Save the transaction.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">The saved income transaction is automatically linked to the payout.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Edit Payout Amount<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For channel reservations, payout breakdown is read-only. Use <code>Adjust payout<\/code> to change the total.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click <code>Adjust payout<\/code>.<\/li>\n\n\n\n<li>Enter the adjustment amount.<\/li>\n\n\n\n<li>Save.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Hostex adds a <code>Payout adjustment<\/code> line and recalculates <code>Net<\/code>. The adjustment cannot reduce the payout below the original channel net amount.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For manual reservations, payout is editable inline. You can edit source rows directly, add fee rows, or delete fee rows except <code>Accommodation<\/code>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">View Transactions Summary<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The Finance transaction summary groups records by category inside the Finance section. It helps you see income and expenses without opening the full transaction list.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The category <code>Accommodation<\/code> replaces older terms such as room revenue or lodging revenue.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Open the Transactions Tab<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the reservation detail drawer.<\/li>\n\n\n\n<li>Click the <code>Transactions<\/code> tab.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">The tab shows:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Total income.<\/li>\n\n\n\n<li>Total expense.<\/li>\n\n\n\n<li>Net income.<\/li>\n\n\n\n<li>Every transaction as a separate row.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Rows are sorted by creation time, newest first, and income and expenses are mixed in one list.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Add a Transaction Manually<\/h2>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Open the <code>Transactions<\/code> tab.<\/li>\n\n\n\n<li>Click <code>+ Add transaction<\/code>.<\/li>\n\n\n\n<li>Choose <code>Income<\/code> or <code>Expense<\/code>.<\/li>\n\n\n\n<li>Select a category.<\/li>\n\n\n\n<li>Enter amount, currency, payment method, time, notes, and attachments.<\/li>\n\n\n\n<li>Save.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">Manual transactions are linked to the reservation. They are not automatically linked to a payout or charge unless created from that payout or charge entry.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Edit a Transaction<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Click a transaction row to open <code>Edit transaction<\/code>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For online transactions, such as Stripe or PayPal:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Most fields are read-only.<\/li>\n\n\n\n<li>Notes and attachments can be edited.<\/li>\n\n\n\n<li>The payment breakdown can be expanded.<\/li>\n\n\n\n<li>The transaction cannot be deleted.<\/li>\n\n\n\n<li>You can use <code>Sync<\/code> to refresh payment details.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">For manual transactions:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>All fields can be edited.<\/li>\n\n\n\n<li>The transaction can be deleted.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Charge-Linked Transactions<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Charge payments are also stored as transactions.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Online charge payment creates an income transaction automatically.<\/li>\n\n\n\n<li><code>Record payment<\/code> from a charge creates a linked income transaction.<\/li>\n\n\n\n<li>Editing a linked charge income keeps its type and category locked where required.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Only linked transactions affect charge payment status.<\/p>\n\n\n\n<figure class=\"wp-block-embed is-type-wp-embed is-provider-hostex-support-center wp-block-embed-hostex-support-center\"><div class=\"wp-block-embed__wrapper\">\n<blockquote class=\"wp-embedded-content\" data-secret=\"dkYB8oonDU\"><a href=\"https:\/\/hostex.io\/help\/add-a-charge-to-a-reservation\/\">How to Add a Charge to a Reservation<\/a><\/blockquote><iframe loading=\"lazy\" class=\"wp-embedded-content\" sandbox=\"allow-scripts\" security=\"restricted\" style=\"position: absolute; visibility: hidden;\" title=\"&#8220;How to Add a Charge to a Reservation&#8221; &#8212; Hostex Support Center\" src=\"https:\/\/hostex.io\/help\/add-a-charge-to-a-reservation\/embed\/#?secret=XQDURIm2un#?secret=dkYB8oonDU\" data-secret=\"dkYB8oonDU\" width=\"500\" height=\"282\" frameborder=\"0\" marginwidth=\"0\" marginheight=\"0\" scrolling=\"no\"><\/iframe>\n<\/div><\/figure>\n","protected":false},"excerpt":{"rendered":"<p>The reservation Finance module is used to manage reservation payout information and reservation transactions.
