Use a charge when you need to collect an extra amount from a guest, such as a security deposit, cleaning fee, extension fee, utility fee, or another reservation-related payment.<\/p>\n\n\n\n

Open the Add Charge Modal<\/h2>\n\n\n\n

  1. Open the reservation detail page.<\/li>\n\n\n\n
  2. Go to the Charges<\/code> section.<\/li>\n\n\n\n
  3. Click + Charge<\/code> or + Add<\/code>.<\/li>\n\n\n\n
  4. The Add charge<\/code> modal opens.<\/li>\n<\/ol>\n\n\n\n

    Fill in Charge Details<\/h2>\n\n\n\n

    Complete the required fields:<\/p>\n\n\n\n

      \n
    • Charge name<\/code>: the name shown to you and the guest.<\/li>\n\n\n\n
    • Amount<\/code>: the amount to collect.<\/li>\n\n\n\n
    • Currency<\/code>: follows the reservation.<\/li>\n\n\n\n
    • Category<\/code>: the income category for this charge.<\/li>\n\n\n\n
    • Payment frequency<\/code>: one-time, monthly, weekly, or custom.<\/li>\n\n\n\n
    • Payment account<\/code>: one or more accounts that can receive the payment.<\/li>\n\n\n\n
    • Note<\/code>: optional internal or guest-facing context, depending on where it appears.<\/li>\n<\/ul>\n\n\n\n

      Configure Taxes<\/h2>\n\n\n\n

      If tax applies:<\/p>\n\n\n\n

        \n
      1. Click + Add tax<\/code>.<\/li>\n\n\n\n
      2. Enter the tax name.<\/li>\n\n\n\n
      3. Enter the tax percentage.<\/li>\n\n\n\n
      4. Choose whether the amount is tax-inclusive.<\/li>\n<\/ol>\n\n\n\n

        If Amount is tax-inclusive<\/code> is selected, the amount entered already includes tax. If not selected, tax is added on top of the charge amount.<\/p>\n\n\n\n

        Tax settings are remembered and can be prefilled the next time you create a charge.<\/p>\n\n\n\n

        Choose Payment Accounts<\/h2>\n\n\n\n

        If only one suitable payment account exists, Hostex can select it automatically.<\/p>\n\n\n\n

        If multiple suitable accounts exist, Hostex defaults to the most recently created suitable account. You can change the selection before saving.<\/p>\n\n\n\n

        Save the Charge<\/h2>\n\n\n\n

        1. Review the charge details.<\/li>\n\n\n\n
        2. Click Add charge<\/code>.<\/li>\n\n\n\n
        3. Hostex creates the charge and shows a confirmation message.<\/li>\n<\/ol>\n\n\n\n

          Charges are listed by creation time, newest first.<\/p>\n\n\n\n

          Charge Status<\/h2>\n\n\n\n

          A charge or charge instance can show:<\/p>\n\n\n\n

            \n
          • Unreceived<\/code>: no payment has been received.<\/li>\n\n\n\n
          • Partial<\/code>: part of the amount has been received.<\/li>\n\n\n\n
          • Received<\/code>: fully paid.<\/li>\n\n\n\n
          • Excess<\/code>: paid amount is greater than the charge amount.<\/li>\n\n\n\n
          • Overdue<\/code>: due date has passed and the charge is not fully paid.<\/li>\n<\/ul>\n\n\n\n

            For recurring charges, each instance has its own due date, status, transactions, and Invoice.<\/p>\n\n\n\n

            Collect or Record Payment<\/h2>\n\n\n\n

            Use Collect<\/code> to send a payment link or manually record payment.<\/p>\n\n\n\n

            Available collection methods can include:<\/p>\n\n\n\n

              \n
            • Copy message.<\/li>\n\n\n\n
            • Send message through supported booking channels.<\/li>\n\n\n\n
            • Email.<\/li>\n\n\n\n
            • SMS.<\/li>\n\n\n\n
            • WhatsApp.<\/li>\n\n\n\n
            • Record payment.<\/li>\n<\/ul>\n\n\n\n

              When a guest pays online, Hostex automatically creates and links the income transaction to the charge. When you use Record payment<\/code>, Hostex opens a transaction form and links the created income transaction to the charge.<\/p>\n","protected":false},"excerpt":{"rendered":"
