How to Create a Direct Booking / a Manual Reservation?

Use a manual reservation when the booking was not imported or booked from a booking channel, and you need to create it directly in Hostex.

Open the New Reservation Drawer

1. Go to the Calendar.
2. Click the check-in date.
3. Click the check-out date.
4. The drawer opens on the right side of the screen.

The drawer includes these sections:

• Stay: room and date information.
• Guest: guest name and number of guests.
• Payout: accommodation and fee breakdown.
• Payment handling: shown only when the net amount is greater than zero.
• Other: channel information.

Enter Stay and Guest Details

1. Select one or more rooms.
2. Confirm the check-in and check-out dates.
3. Enter the guest name.
4. Enter the number of guests.

For multi-room reservations, all selected rooms share the same dates and guest information.

Enter the Payout

In the Payout section, enter the total reservation amount.

• Accommodation is required.
• Optional fees can be added as needed, such as cleaning fee, extra guest fee, pet fee, or commission.
• Net is calculated automatically.

For 2 or 3 rooms, enter the total amount and Hostex splits it evenly across rooms. For 4 or more rooms, the room selector is collapsed into a summary such as 5 rooms selected to keep the drawer compact.

Choose Payment Handling

If Net is greater than zero, choose how to handle payment:

• Payment received: Hostex records an income transaction for the amount.
• Payment not received: Hostex creates no financial record by default.
• Create a charge to collect later: available under Payment not received. After the reservation is created, Hostex opens the Add charge modal with default values.

When Create a charge to collect later is selected, the prefilled charge uses:

• Name: Accommodation
• Amount: the net amount
• Category: Accommodation

Create the Reservation

1. Review all sections.
2. Click Create.
3. Hostex shows a confirmation message such as 1 reservation created successfully.

If multiple rooms are selected, Hostex creates one reservation per room and shows the corresponding success count.

Edit Payout Later

Manual reservations allow inline payout editing from the reservation detail page.

• Click a payout row to edit its amount.
• Use Add fee to add available zero-value fee types.
• Fee rows can be deleted.
• Accommodation can be edited but cannot be deleted.

Channel reservations are different: their payout breakdown is read-only and must be changed through Adjust payout.
