Guide to Migrating from Other Channel Management Systems to Hostex

I. Prerequisites

Prepare the account credentials for all channel platforms (Airbnb, Booking.com, Vrbo, Agoda, Expedia, Trip, Houfy, etc.), and ensure you can log in and operate these accounts normally to lay the groundwork for subsequent synchronization.

II. Important Notes

Dates manually blocked and manually created bookings on channel platforms cannot be synced to Hostex.

III. Step-by-Step Operation Guide

Step 1: Register a Hostex Account

Visit the official Hostex registration page: https://hostex.io/, then complete account registration and login following on-screen prompts.

Step 2: Create Properties & Room Types

Log into the Hostex backend and finish property creation per the official setup guide. Detailed steps are available in the help document: https://hostex.io/help/set-up-property/.

Step 3: Set Up Parent/Child Property Connection

If your properties have a parent-child relationship, you must configure the parent-child property connection first. Reference link: https://hostex.io/help/parent-child-property/

Step 4: Manually Block Dates & Create Direct Bookings in Hostex Calendar

Navigate to the Calendar module in Hostex. For every channel you intend to sync (Airbnb, Booking.com, etc.), complete two manual configurations:

  1. Manually block the same dates in Hostex Calendar that you manually closed on the booking platforms.
  2. Manually recreate all direct bookings in Hostex Calendar that you manually added on the booking platforms.

This step prevents availability conflicts and duplicate bookings during synchronization, guaranteeing accurate and consistent calendar data.

Step 5: Link Channel Accounts to Hostex

  1. Go to the Connected Accounts section in the Hostex backend.
  2. Click Connect an account.

Step 6: Map Channel Listings to Hostex Properties

  1. Stay within the Connected Accounts page and click Link my listings.
  2. Match each listing from channels (Airbnb, Booking.com, etc.) one by one to the corresponding property you created in Hostex based on your business setup, then save all configurations.

IV. Friendly Reminders

1. Synchronization Rules for Agoda, Expedia and Trip

These three platforms do not support syncing historical reservations. Only new reservations generated after you complete listing mapping in Hostex will be pulled through.

2. Historical reservations Rules for Booking.com

  1. Only future check-in reservations can be retrieved and synced.
  2. Future reservations without XML access will be imported via summary API. These reservations can only be created in Hostex; cancellation status updates will not sync.
  3. Historical reservations on Booking.com cannot be synced due to platform restrictions.

3. Historical reservations Rules for Houfy

Houfy archives historical reservations regularly. Its API can only retrieve unarchived reservations (in-progress or upcoming stays); archived reservations are unsyncable.

4. Reservations Synchronization Rules for Airbnb

All Airbnb reservations except manually created ones can be fully synced to Hostex.
